Stamford Associates Limited (“we” or “us”) are committed to protecting and respecting your privacy.

This policy sets out the basis on which any personal data we collect from an individual “you”, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we treat it.

Information we may collect from you

We may collect and process the following data about you:

  • Information that you provide filling in forms on our website at www.stamfordassociates.com. This includes information provided at the time of registering interest for a posted job, to obtain access to materials or for the purpose of contacting us for more information.
  • Information that you provide to us or which we ascertain after meeting with you with respect to our investment consulting business, for example as a client or prospective client or in relation to our investment manager assessment and monitoring activities on behalf of our clients or prospective clients and with whom we may share such data. Please note that you must only provide us with personal information in relation to or on behalf of another person if you have their permission or it is public information, and we reserve the right to assume that any such information you provide has the necessary permissions.
  • Information that you have provided to third party directory and electronic database providers, for example those specialising in pension fund business.
  • Information that has been collated from our email marketing through third party email distributors such as MailChimp®, which reports on recipients who have unsubscribed or opened the email sent from us.
  • We may keep a record of any contact you have with us and such contact may be subject to monitoring to ensure compliance with regulation or internal compliance policies.

It is in your sole discretion to provide personal information to us. If you do not provide us with all or some of the personal information we request we may not be able to send you any information which we believe would be of interest to you.

Where we store your personal data

All information you provide to us is stored on our secured servers to protect it to our reasonable ability against unauthorised or unlawful processing and against accidental loss, destruction or damage. Information may be transferred outside the UK/EEA, for example to a jurisdiction where email marketing distribution servers are located, however we will always ensure that there is a legal basis and a relevant safeguard method for such data transfer so that any of your personal information is managed in a manner that is consistent with applicable laws and regulations on data protection. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we receive your information, we will use strict procedures and safety features to try to prevent unauthorised access and in accordance with the Data Laws.

Disclosure of your information

We will not disclose your information to any third parties other than as said below.

We may disclose your information to our clients and other third parties if it is directly or indirectly relevant to the establishment or continuation of a commercial relationship with them.  In an investment consulting context this could be, for example, in relation to our investment manager assessment and monitoring activities pursuant to our investment consulting activities for such clients or other third parties. Such a duty would include but is not limited to,  the provision of personal and other information that is pertinent to our advice or opinion in relation to either an investment manager recommendation or our ongoing monitoring responsibilities. We may also disclose your information to third parties who assist us in preparing marketing mailings or if we are under duty to disclose or share your personal data in order to comply with any other legal, including a contractual obligation, or in order to protect the rights, property, or safety of Stamford Associates Limited, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

Legal basis for processing personal data

We will only process the information we have about you to the extent that applicable law provides a lawful basis to do so.  We will therefore only process your personal information if you have consented to us to do so, if we need it to comply with a legal obligation or if we (or a third party) have a legitimate interest which is not overrriden by your interests or fundamental rights and freedoms.

Your rights

Notwithstanding the foregoing you have the right to ask us to restrict our use of your personal data or otherwise not to process it for the purposes set out herein. For example, you may no longer wish to receive marketing information from us or  receive invitations to our events or information on our services and/or with respect to our client driven investment consulting activities, you may ask us not to disclose personal information to a client or prospective client or to cease using information you supply to us to provide you with news and other information we believe may be of interest to you. We will usually inform you (before collecting your data) if we intend to use your data for the purposes set out above and we will give you an “unsubscribe” option at the end of marketing emails. You can also exercise your right to prevent such processing by contacting info@stamfordassociates.com , by letter to our office address or by contacting us by telephone on 020 7629 5225 and ask to speak to the Data Protection Officer. We will then cease to process your data under the right of erasure where the law allows as soon as possible but in any event within 30 days. You may also contact us if you wish to check the accuracy of your information, to update it or to make sure that it remains relevant for the purpose for which it was collected; we will also perform such checks periodically.

Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

Access to information

The Data Laws give you the right to access personal data held about you in a useable format (an access request). Your right of access can be exercised in accordance with the Data Laws.

Duration

We store your data for no longer than we consider necessary with respect to its purpose and having regard to any relevant statute, including the Financial Services and Markets Act 2000 and the Limitation Act 1980.  For example, if you are a portfolio manager we will retain your information, subject to any rights you might otherwise wish to exercise, for as long as we consider it relevant in relation to the investment manager assessment and monitoring activities we undertake or might undertake for our clients or prospective clients.
